Policy Adaptation Notes — BSB → Al Fajer Private School (AFS)
Working document. Governs the adaptation of the 37 policy PDFs in policy/ from
The British School of Bahrain (BSB) to Al Fajer Private School (AFS), an
American-curriculum school in Barbar, Bahrain teaching KG1 – Grade 6 only.
Format decision (needs owner sign-off): the source files are PDFs, which cannot
be edited in place. Each policy is adapted into a Markdown sibling (same
basename, .md) next to its source PDF. The PDFs stay untouched as the source of
record until AFS approves the adapted texts; the .md files diff cleanly in git
and can later be exported to Word/PDF or rendered as site pages.
Status: Phase 1 (discovery) complete — every file read end to end and surveyed. All 37 policies adapted to Markdown siblings. Owner decisions confirmed: age-true grade mapping (Year 1 -> KG3), Markdown-beside-PDF output, and retirement of the Examinations policy. A lexical verification sweep passed (zero BSB/vendor/named-person/senior-machinery/British-spelling residue); 873 [NEEDS AFS INPUT] placeholders await school/counsel input.

Deliberate deviation from the brief: "term→semester" is NOT applied. AFS's own fee schedule runs a three-term year (termly plan discounts the third term), so "term" is retained as AFS's real structure.
Spelling: full British→American pass (behaviour→behavior, organise→organize,
programme→program, enrolment→enrollment, licence→license, colour→color,
practise→practice (verb), centre→center, counsellor→counselor, etc.). File names
keep their existing slugs (e.g. Behaviour-_Rewards_&_Sanctions_Policy) so the
PDF↔MD pairing stays obvious; titles inside the documents are Americanized.

Evidence: BSB's own Admissions policy age table (Nursery = 3 turning 4 … Year 7 = 11 turning 12, one year per label) vs AFS's structure (KG1 entry from 2 y 9 m; three KG years; Grades 1–6).

⚠️ Convention-dependent boundary, awaiting owner confirmation: the brief's baseline table maps Year 1→Grade 1, but that leaves AFS's KG3 with no source year and shifts every mapping one year off the stated ages. Because AFS has three KG years and the repo states only KG1's entry age, the age-true mapping above is recommended but not asserted. If AFS instead defines Grade 1 as age 5–6, the brief's baseline applies. This changes how "Years 1–6" passages are rewritten (age-true → "KG3 – Grade 5"; baseline → "Grades 1–5").
Layer 3 — Structural rules

- Infant/Junior/Senior-block policies: Senior block deleted; Infant/Junior kept and re-labeled to AFS bands.
- Boundary-spanning sentences rewritten to end at Grade 6 (e.g. "Years 3–13" → "Grade 2 – Grade 6" under the age-true mapping).
- Assessment policy reduced to a primary formative/summative framework anchored on STAR 360; qualifications machinery dropped.
- Governance / legal / T&C / fees: skeleton only, every fact [NEEDS AFS INPUT].
- Teen-framed passages (sexting typologies, social-media 24/7 framing, cyber-law exclusions, teen relationship-abuse sections) reframed to primary-age, parent-facing language or removed where inherently post-primary.

5. Cross-cutting findings (Phase 4)
- Duplicate/conflicting equality policies: 049 (staff, Inspired-group, 5 protected grounds) vs 009 (pupils, Equality-Act-based, 10 grounds — lists conflict). Both UK-derived; sensitive grounds intersect with Bahraini law and must be decided by AFS/legal, not by find-replace. Proposal: one staff-facing + one student-facing policy, protected-grounds list [NEEDS AFS INPUT].
- Behavior (034) vs Exclusions (041) describe the exclusion ladder with slightly different approval formulations — reconciled in adaptation to a single formulation, flagged.
