Policy Adaptation Notes — BSB → Al Fajer Private School (AFS)

Working document. Governs the adaptation of the 37 policy PDFs in policy/ from The British School of Bahrain (BSB) to Al Fajer Private School (AFS), an American-curriculum school in Barbar, Bahrain teaching KG1 – Grade 6 only.

Format decision (needs owner sign-off): the source files are PDFs, which cannot be edited in place. Each policy is adapted into a Markdown sibling (same basename, .md) next to its source PDF. The PDFs stay untouched as the source of record until AFS approves the adapted texts; the .md files diff cleanly in git and can later be exported to Word/PDF or rendered as site pages.

Status: Phase 1 (discovery) complete — every file read end to end and surveyed. All 37 policies adapted to Markdown siblings. Owner decisions confirmed: age-true grade mapping (Year 1 -> KG3), Markdown-beside-PDF output, and retirement of the Examinations policy. A lexical verification sweep passed (zero BSB/vendor/named-person/senior-machinery/British-spelling residue); 873 [NEEDS AFS INPUT] placeholders await school/counsel input.

Deliberate deviation from the brief: "term→semester" is NOT applied. AFS's own fee schedule runs a three-term year (termly plan discounts the third term), so "term" is retained as AFS's real structure.

Spelling: full British→American pass (behaviour→behavior, organise→organize, programme→program, enrolment→enrollment, licence→license, colour→color, practise→practice (verb), centre→center, counsellor→counselor, etc.). File names keep their existing slugs (e.g. Behaviour-_Rewards_&_Sanctions_Policy) so the PDF↔MD pairing stays obvious; titles inside the documents are Americanized.

Layer 2b — Year → Grade mapping (age-verified, NOT the formula in the brief)

Evidence: BSB's own Admissions policy age table (Nursery = 3 turning 4 … Year 7 = 11 turning 12, one year per label) vs AFS's structure (KG1 entry from 2 y 9 m; three KG years; Grades 1–6).

⚠️ Convention-dependent boundary, awaiting owner confirmation: the brief's baseline table maps Year 1→Grade 1, but that leaves AFS's KG3 with no source year and shifts every mapping one year off the stated ages. Because AFS has three KG years and the repo states only KG1's entry age, the age-true mapping above is recommended but not asserted. If AFS instead defines Grade 1 as age 5–6, the brief's baseline applies. This changes how "Years 1–6" passages are rewritten (age-true → "KG3 – Grade 5"; baseline → "Grades 1–5").

Layer 3 — Structural rules

• Delete GCSE/IGCSE, AS/A-Level, BTEC, JCQ, CIE/board machinery, mocks, coursework/controlled assessment, Sixth Form, prefects, study leave, university/UCAS framing, MidYIS/Yellis/ALIS baselines.
• Infant/Junior/Senior-block policies: Senior block deleted; Infant/Junior kept and re-labeled to AFS bands.
• Boundary-spanning sentences rewritten to end at Grade 6 (e.g. "Years 3–13" → "Grade 2 – Grade 6" under the age-true mapping).
• Assessment policy reduced to a primary formative/summative framework anchored on STAR 360; qualifications machinery dropped.
• Governance / legal / T&C / fees: skeleton only, every fact [NEEDS AFS INPUT].
• Teen-framed passages (sexting typologies, social-media 24/7 framing, cyber-law exclusions, teen relationship-abuse sections) reframed to primary-age, parent-facing language or removed where inherently post-primary.

3. Consolidated NEEDS AFS INPUT / human review list

Safeguarding-critical (human sign-off required before any use):

1. DSL + deputy DSL — names, roles, contact details (Safeguarding, Online Safety, Missing Child, Supervision, Attendance/CME, Images).
2. Emergency escalation contacts and the safeguarding email/phone channel.
3. An Anti-Bullying Policy does not exist in the set yet is cross-referenced by Safeguarding, Supervision and Equal Opportunities — must be authored or the references removed.
4. School nurse(s), first-aider roster, designated hospitals list (First Aid).
5. Missing-child procedure: who fills each named role (Principal, operations, counselor) and police-contact wording.

Legal / governance (rebuild, do not adapt): 6. Legal entity name, CR number, ownership, board/governance structure (Articles of Governance). 7. Fees, refunds, deposits, notice periods, T&C (Admissions appendix + Articles Appendix A + exclusions fee clauses). 8. Parent bodies — does AFS have PCA/PAG equivalents? (Parental Engagement constitutions.) 9. Data-protection basis: PDPL assumed from repo + Images policy — needs counsel confirmation. 10. Employment/HR-legal content in Staff Code of Conduct & Whistleblowing (Bahrain Labour Law framing, disciplinary/grievance references, whistleblowing channel).

Operational facts not in the repo: 11. Every document-control date + the policy-numbering scheme. 12. SIS, learning platform, parent-comms channels, booking system. 13. School hours, registration/late cut-offs, term dates, drop-off/pick-up procedure. 14. Uniform: AFS's actual uniform list & supplier (BSB stock list removed). 15. 5. Cross-cutting findings (Phase 4)

• Duplicate/conflicting equality policies: 049 (staff, Inspired-group, 5 protected grounds) vs 009 (pupils, Equality-Act-based, 10 grounds — lists conflict). Both UK-derived; sensitive grounds intersect with Bahraini law and must be decided by AFS/legal, not by find-replace. Proposal: one staff-facing + one student-facing policy, protected-grounds list [NEEDS AFS INPUT].
• Behavior (034) vs Exclusions (041) describe the exclusion ladder with slightly different approval formulations — reconciled in adaptation to a single formulation, flagged.
• Curriculum (025) vs Teaching & Learning (022) duplicate PSHE + Careers sections nearly verbatim and carry two conflicting subject-hours tables; adapted versions de-duplicate (curriculum keeps curriculum content; T&L keeps pedagogy) — subject tables rebuilt for AFS [NEEDS AFS INPUT].
• Examinations policy (048) is ~95% senior exam-centre machinery with no primary content worth keeping → recommend retiring it (or replacing with a 1-page internal-assessment administration note). Decision pending.
• Academic Honesty starts at KS3 — needs a genuine primary rewrite (KG–G6 honesty habits), not a strip-down.
• First Aid embeds a live 2025/26 roster of ~60 named BSB staff with license expiries — replaced wholesale by a role-based table [NEEDS AFS INPUT].
• Complaints embeds BSB's AY2024/25 complaint counts (8/8/0) — BSB data, removed.
• Attendance uses two ladders split at Year 7; only the supportive N–6 ladder is in scope (maps to KG1–Grade 5 age-true) — the punitive Years 7–13 percentage ladder applies to Grade 6 for exactly one year band; adapted to a single primary-appropriate ladder, flagged.
• Repeated internal inconsistencies (Executive Headmaster vs Headteacher, iSAMS spellings, numbering glitches, stale appendix dates, blank Appendix 8 flowchart in Safeguarding, unfinished SENDA clause 5.10.1) — corrected or flagged per file.
• Support 360 appears nowhere in the corpus despite the brief's mention.
• SMSC is an Ofsted construct → reframed as a character-education/values policy built on AFS's crest values.
• Sixth-form/prefect/uniform/makeup clauses, DofE, careers/UCAS machinery: removed per Layer 3 everywhere they occur.

• L2: spelling already largely US in source; remaining conventions normalized.
• L2b/L3: "examination bodies" (senior) → learning platforms/service providers; social-media clause reframed for under-13s (no personal accounts; supervised, moderated school platforms; parent partnership); AI-use clause made staff-supervised for students; consequences rewritten age-appropriately and routed to Behavior and Staff Code policies; reporting routed to homeroom teacher/DSL/Principal.

Format: Kept / Removed / Rewritten / key load-bearing flags. Every file carries the AFS logo line, exemplar DOCUMENT CONTROL (AFS-POL ref + confirm-scheme flag, dates [NEEDS AFS INPUT]), a fresh v0.1 version row, American English, "term" retained (three-term year), and Sunday–Thursday framing.

online_safety_policy.md (19) — Kept: structure, AI-use clauses. Removed: exam-body data-sharing. Rewritten: social-media clause for under-13s (no personal accounts; supervised platforms); GDPR→PDPL. Safeguarding banner; DSL contacts flagged.

Removed: Sixth-Form/GCSE entry, senior assessment tiers, BSB DOB tables, named nurses/contacts, payment rails, Hamala address, "native English speaker" priority. Rewritten: two-tier KG(observation)/Grades 1–6(age-appropriate) assessment; age table rebuilt KG1(from 2y9m)–Grade 6 (flagged); registration BD 200 cited. Removed: senior initial assessments/mocks/external exams/JCQ/coursework, CEM suite, White Rose, TTRS, Google Classroom. Rewritten: baselines→STAR 360; three-reports-a-year; cycle testing Grades 4–6. Rewritten: single KG1–G6 age-appropriate ladder (merged primary/secondary streams; secondary offenses→age-appropriate equivalents); rewards system flagged; clock specifics flagged; student leadership age-appropriate. Exclusion tier uses the reconciled formulation (see below). Sign-off banner. Flags: 26. permanent_exclusions_policy.md (08) — Internal title "Exclusions Policy". Kept: graduated fixed-term/required-withdrawal/permanent structure, fairness principles (plain language), MoE approval chain, reintegration.
